  • Periodic products are used to create recurring invoices
  • Example: Yearly services fee, Membership fee

Create periodic product

1. Charging criteria – This field defines the charging criteria. Charging can be done by;

i. Member wise – one member will get only one charge for all the connections in all of his properties for a given period.
ii. Property wise – A member will get separate charges (separate invoice lines) for each property he owns for a given period.
iii. Connection wise – A member will get separate changes for each connection he owns for a given period. 

2. Charging period – Charge can be defined for:

i. Year
ii. Quarter
iii. Month

3. Price – price of the product for the given criteria (This is excluding VAT)

4. Minimum charging unit – Minimum charging unit is used in calculating partial invoicing. These are predefined values

i. Day – The system will charge for the actual days a member used the service.
ii. Month – A member needs to pay for the whole month if at least one day inside the month he/she used the service during the period
iii. Quarter – A member needs to pay for the whole quarter if at least one day he/she used the service during the period
iv. Six months – A member needs to pay for the whole six months if at least he/she used the service during the period
v. Year – A member needs to pay for the whole year if at least one day he/she used the service during the period

Example: 

Periodic product = ‘Yearly service fee’
Charging period = ‘Year’
Price = 900 kr

If the user is enrolling to system on 25th November

If the ‘Minimum charging unit’ = ‘Day’
The system charging from the 25th of November to 31st of December

If the ‘minimum charging unit = ‘month’
The system charging from the 01st of November to 31st of December

If the ‘minimum charging unit = ‘Quarter’
The system charging from the 01st of October to 31st of December

If the ‘minimum charging unit = ‘Six months’
The system charging from the 01st of July to 31st of December

If the ‘minimum charging unit = ‘Year’
The system charging from the 01st of January to 31st of December

Note:

If the charging period is month
Then the minimum charging unit is not allowed to be set beyond a month (i.e. quarter, six months and year are not allowed). 

If the charging period is Quarter
Then the minimum charging unit is not allowed to be set beyond a Quarter (i.e. six months and year are not allowed). 

5. Charging basis – On what basis the charging is made. There are two system defined options

i. Membership date – Invoices will be calculated from the date where user becomes a member in the union
ii. Connection delivery date – Invoices will be calculated from the date where user is given the connection

Example:

Charging criteria = Member wise
Charging Basis = Connection delivery date
Charing period = Year
Price = 1 200 kr
Minimum charging unit = Month

User is having three properties with three active connections delivered on; 

Connection 01 – 15-03-2021
Connection 02 – 05-07-2021
Connection 03 – 30-08-2021

Then the first invoice will be generated with value of; 1 200 * (10 / 12) = 1 000 kr

Here the connection delivery date will be decided by considering the earliest delivery date for the peculiar user. This is because the charging criteria is member wise. (one member will get only one charge for all the connections in all of his properties for a given period.) In this example the earliest delivery date is 15th March 2021 and the minimum charging unit is ‘month’. Therefore the user will be charged for 10 months (including the month of March).

6. Account number of the book keeping system (Fortnox).

7. ‘Moms’ – VAT percentage. The VAT rates are predefined in the system.

Notes:

    • Creating periodic products on member wise and property wise will be similar in terms of the setting of parameters. 
    • If the periodic product is defined as ‘Connection wise’, then there will be additional parameter settings for the chargers per direct connections and apartment connections. (refer below image)

    • System asks for individual chargers for active, passive and dormant connections for both direct connections and connections through common connection spaces.
    • There won’t be any charge for the parent connection that comes to the common connection space.
